Why use a receipt?

Tenants primarily use the rent receipt to justify their rent or residence. In addition, your tenants need to be able to easily track rent payments for their records. In case of a dispute or accusation of non-payment of rent, the receipt is the document to have on hand. It allows you to attest to the regularity of a tenant over a given period. It is therefore essential to keep the receipts issued by the landlord to avoid these disputes. Moreover, if the tenant can prove his regularity thanks to the receipts, he is free to ask for damages to the author of this kind of accusation.

How do I use a rent receipt?

The receipt is not necessary for the tenant who pays his rent and charges most of the time. However, for specific periods of time, the tenant may ask the landlord to provide one, so we recommend that you follow these guidelines in this case:

Step 1 - Collect / Pay Rent

The tenant pays the rent to the landlord in accordance with the lease agreement. If a receipt is required, the payment is usually made in cash. The landlord then records the amount paid and the length of the lease.

Step 2 - Landlord's Signature

The landlord must sign the receipt as it is the only proof that the tenant has paid the rent.

Step 3 - Keeping the receipt

The tenant receives the receipt and keeps it in a safe place in case the landlord tries to claim non-payment.

What should a rent receipt contain?

The receipt details the amounts paid by your tenant. For your receipt to be valid, you must indicate:

➤ Your tenant's identity (first and last name) and address
➤ Your identity and address
➤ The date of the receipt
➤ The period for which the Tenant has paid these amounts (generally, you indicate the month and year concerned)
➤ Tenant's rent and expense amounts should be listed separately (one line per item)

When and how to send the rent receipt?

If your tenant has asked you to send a rent receipt each month, it is best to send the receipt as soon as you receive the payment. Landlords usually send the receipt directly to the tenant. You can also send the receipt to your tenant electronically if the tenant agrees. In order to avoid the landlord having to hand-deliver or mail the receipt, the law now allows the landlord to send it electronically. Thai law now allows the Landlord to send it electronically. In practice, the tenant cannot be charged for writing or mailing the receipt.

Is it mandatory to send a receipt?

The delivery of a receipt is only mandatory if the tenant requests it. In fact, the Landlord must give the receipt to the Tenant upon request.

The Landlord is not obliged to send receipts to the Tenant spontaneously. The Landlord is only obliged to do so at the request of the Tenant. The receipt must be given to the Tenant who has paid the full amount of the rent and charges for the month in question. If the Tenant pays only a portion of the rent or utilities for a given period, the Landlord shall not issue a receipt to the Tenant, but shall issue a receipt for the amounts paid, without distinguishing between the rent and utilities. Once the Tenant has paid the balance, a receipt can be issued.

Even if the Tenant has vacated the premises, he/she is entitled to request receipts for each month of rent paid.
